Administrative Office Assistant

POSITION SUMMARY: The Administrative Office Assistant is responsible for overall front office activities, including the administrative reception area, mail, greeting customers and more. The Administrative Office Assistant is also responsible for providing support to the Management Team, managing and supporting the Company's Charitable Contributions Activities.

Hours Worked: 8:30 a.m. to 5:00 p.m.

Major Job Objective

What's Expected

Office Assistant

· Managed the day-to-day aspects of the administrative office:

  • Answer phones, file, greet customers, distribute mail, oversee the company calendar, etc.

· Plan and coordinate logistics such as travel, special projects, events, conferences, trainings, tours, etc....

· Manage and oversee office supplies and orders, review and submit invoices to the Accounting Department upon receipt.

Administrative Assistant

· Support communications with the management team, staff, external clients and the public.

· Compose letters, notes and minutes from external and internal meetings.

· Assist in business presentations and proposals and when needed.

· Experience preparing and working with Board of Directors.

· Composes routine correspondence; proofreads and/or finalizes letters, memorandums, reports, or other documents for approval and/or signature.

· Answer, screen and transfer calls on a multi-line phone system.

· Provide information to callers who have general inquiries.

· Manage incoming deliveries and processing of outgoing mail.

· Compiles and prepares data or reports from a variety of sources in accordance with specific instructions or procedures.

· Provide exceptional customer service to customers and staff.

· Performs data entry and develops routine spreadsheets and databases.

· Working knowledge of creating and working with budgets.

Customer Relations

· Complete knowledge and understanding of order process, tracking and discrepancies, customer complaints, product returns, etc.

· Function as backup for order entry and customer service issues when staff is on vacation, sick or otherwise absent.

Public Relations

· Manage outside public relations activities such as charitable contribution requests, social events and company recognition opportunities.

· Keeps CEO abreast of all correspondence

Food Safety, Quality, and Legal Requirements

· Comply with all Food Safety, Quality and Legal requirements written in each SOP pertaining to job duties.

· Report any infractions of Food Safety, Quality and Legality to supervisor.

· Follow personal hygiene practices as documented.


OTHER JOB FUNCTIONS:

  • Recommend innovative approaches, policies and procedures, and best practices to provide continual improvements in efficiency of department and services performed.
  • Self-starter who can work independently, effectively prioritize and manage workload in a fast-paced environment.
  • Assist with special projects and perform other duties as assigned.

EDUCATION:

  • Bachelor's degree or equivalent experience

EXPERIENCE:

  • Four to eight years of experience in a similar position.

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:

Normal office conditions apply. Employees must have a clear, close vision for reading and computer work. Must be able to sit, stand, walk, balance, stoop, grasp, talk, hear and operate computer keyboard. Job may require reaching at shoulder level and below waist. Will occasionally lift/push/pull up to twenty pound and carry objects 50 feet.
